Clinic Policies & Procedures
By booking an appointment, you agree to the following policies.
My relationship with my clients is built on mutual trust, clarity, and respect. These policies protect your experience, my livelihood, and the professional environment of my home practice.
If you do not support these policies, please refrain from scheduling an appointment.
Privacy & HIPAA-Informed Confidentiality Policy
Prior to your first appointment, you will be required to complete a confidential online health history form. This form must be updated once per year or whenever a significant change occurs in your health (such as surgery, new diagnosis, major illness, or injury).
As a massage therapist, I follow industry-standard privacy practices aligned with HIPAA principles:
- Your health information is private, protected, and used only for treatment purposes.
- Your file will never be shared without your explicit consent, except where legally required.
- I may collaborate with other healthcare professionals involved in your care, only with your permission.
- All client information—written, verbal, or electronic—is kept strictly confidential and stored securely.
Your privacy is a fundamental part of your care, and I am committed to protecting it at all times.
Cancellation, No-Show & Illness Policy
As a sole practitioner, my schedule—and my income—depend entirely on appointments booked by clients. Because of this, I maintain a strict cancellation policy.
Credit Card on File
A valid credit card is required to reserve your appointment. It will only be charged in the event of a no-show or late cancellation.
48-Hour Cancellation Policy
If you cancel, reschedule, or fail to attend your appointment with less than 48 hours' notice, the full treatment fee will be charged to the card on file.
This applies to any reason, including:
- Illness
- Injury
- Emergencies
- Bad weather
- Forgetfulness
- Alien abduction…
Exception: If YOU fill your appointment time with another person, the fee is waived. Road closures due to major snowstorms are also exempt.
Think of your massage appointment like a concert ticket: if you can’t attend, you may send a friend—or absorb the cost.
If You Are Sick
Please stay home if you:
- Have a fever
- Have symptoms of cold, flu, COVID-19, or any contagious illness
- Have vomited in the last 24 hours
- Are experiencing a new or worsening infection
A minimum of 24 hours’ notice is still required to avoid a charge. Late-notice illness cancellations (under 48 hours) will still be charged unless you fill your appointment time.
Appointment Times & What to Expect
The duration you book reflects your entire appointment, which includes:
- Intake and conversation
- Postural or movement assessment
- Treatment planning
- Hands-on Massage or Posture Therapy time
- Home care or exercise recommendations
Your first visit includes a more detailed intake interview. I do my best to maximize hands-on time, but it is rarely the full length of the session.
For best results, booking 90 minutes is recommended.
Refusal of Service
I reserve the right to refuse or terminate a session at any time for reasons including (but not limited to):
- Intoxication or impairment
- Derogatory, abusive, or bigoted comments
- Sexual or romantic advances
- Contagious or infectious illness
- Unidentified or contagious skin conditions (rashes, open sores, fungal infections, suspicious bites, etc.)
If any such behavior or condition is present, the appointment will end immediately, and the full fee will be charged.
